Administration and Support Staff

The administration and support staff in the NHS are often the unseen cogs of the establishment. Within the NHS they support the clinicians (GPs and Nurses) by providing administrative support for the practice and patients. They often form a direct first point of contact for the patient and are responsible for records being kept up to date and secure; a patient’s effective treatment is dependent on good record keeping.

Roles include medical assistant, medical secretary, receptionist, clinical coders, IT manager, HR advisor, physician’s associate and care navigator.

The average day for a GP receptionist generally includes:

  • Directing patients where to go within the Practice
  • Booking patients in for appointments
  • Entering patient’s details onto the IT system
  • Answering phones and directing calls to other staff through the switchboard or phone system
  • Answering queries from patients and other staff

Some receptionists may combine their job role with other admin duties, such as:

  • Filing
  • Chasing up reports
  • Photocopying
  • Inputting data
  • Ordering stationery
  • Word processing

Receptionists work in a team with other clinical and admin staff. Depending on where you work, you’ll have contact with other healthcare professionals in Trusts and the larger Healthcare System.

Some receptionists become members of The Association of Medical Secretaries, Practice Managers, Administrators and Receptionists (AMSPAR) or The British Society of Medical Secretaries and Administrators (BSMSA). Both AMSPAR and BSMSA offer training, online forums and newsletters. This allows receptionists to network with others doing the same type of work to share experience, skills and resources.

Desired skills and attributes include: good communication and interpersonal skills, a strong working knowledge of IT systems, an ability to work under pressure and excellent organisational skills. Accuracy is a must.
